1. Check Mailbox for New Emails: 

The initial phase of invoice processing using Intelligent Automation (IA) (case Study) involves training the bot to fetch these invoices, by accessing the assigned mailbox and examining incoming emails based on the category like subject line, sender details, etc… 

2. Identifying & Evaluating Attachments: 

Now, once the bot identifies that an email contains attachments and determines whether the file is a PDF and if its size is within the designated limit it proceeds to the next step and if the bot identifies if an email doesn’t have any attachments, then it falls outside the scope and can be disregarded & multiple attachments are separately handled. 

3. Keyword Analysis: 

Bots compare line items with the given keywords between invoices and related documents, if the attachment is unrecognized, then the bot moves the email to the training folder and if recognizes the document, check for specific keywords within the PDF. 

4. Field Extraction and Confidence Check: 

Once the bot extracts the PDF according to the recognized keywords, then assess the confidence score of the extraction.  

5. Process Purchase Order (PO) Status & Extraction errors: 

Now the bot checks the status of the purchase order (PO) automation associated with the extracted data and moves the extracted data to the appropriate folders and if the extraction process fails, bot moves the email to the Error folder for further review.
